Privacy Policy
Last updated: 01-07-25
Nordic Kayaks UK Ltd (“we”, “our”, “us”) is committed to protecting and respecting your privacy. This policy explains what personal data we collect, how we use it, and your rights. It applies to nordickayaks.co.uk (“Site”) and any correspondence you have with us.
1. Who we are (data controller)
Controller: Nordic Kayaks UK Ltd
Address: 24 Telegraph Street, St Day, Cornwall, TR16 5LY, United Kingdom
Email: ellen@nordickayaks.co.uk
2. Personal data we collect
We collect and process four main categories of personal data:
Contact data – When you request a demo, book a call or sign up for our newsletter we ask for your name, email address and (optionally) your telephone number. We use these details to respond to your enquiry and, where you have expressly opted-in, to send you newsletters, promotions and kayaking tips. Our legal basis is your consent (Article 6 (1)(a) UK GDPR) and, for answering your enquiry, our legitimate interest in providing customer service (Article 6 (1)(f)).
Marketing-preference data – We keep a record of whether you have opted in or out of marketing so we can honour your choices and prove compliance with the law. The legal bases are consent and our legal obligation to maintain accurate records (Articles 6 (1)(a) and 6 (1)(c)).
Technical and usage data – When you browse the Site we automatically collect information such as your IP address, browser type and version, device identifiers, time-zone settings and details of how you interact with our pages. This is gathered through cookies and similar technologies to help us secure, administer and improve the Site. The legal basis is our legitimate interest in operating a safe and effective website (Article 6 (1)(f)).
Email-engagement data – Our email platform (FluentCRM) records whether you open our emails and which links you click. We analyse these statistics to understand what content is useful and to refine future newsletters. The processing relies on our legitimate interest in improving our communications (Article 6 (1)(f)).
We do not knowingly collect any special-category (“sensitive”) personal data.
3. How we use your data
Responding to enquiries – scheduling demos or calls.
Email marketing – sending occasional product updates, promotions and kayaking tips. You can unsubscribe at any time by clicking the link in every email or contacting us.
Site operation & analytics – monitoring performance, detecting abuse, and improving content.
Legal compliance – maintaining records required by UK law.
We will not engage in automated decision-making that produces legal or similarly significant effects.
4. Sharing your data
We never sell your personal data. We may share it only with:
Service providers – e.g. website host, FluentCRM email platform, analytics providers, IT support. Each acts under our instructions and signs appropriate data-processing agreements.
Professional advisers – lawyers, accountants, insurers, where reasonably necessary.
Public authorities – if required to comply with a legal obligation or court order.
If any service provider processes data outside the UK/EEA, we ensure an appropriate safeguard is in place (e.g. UK Addendum to the EU Standard Contractual Clauses).
5. How Long We Keep Your Data
We keep your personal data only for as long as we need it:
Contact and marketing information (e-mails, phone numbers, newsletter preferences) is held until you unsubscribe or, if you stay on our list, for no more than two years after our last interaction—whichever happens first.
Enquiry correspondence (e.g. demo or booking requests and any follow-up emails) is retained for eighteen months from the date we close your enquiry.
Technical logs created by the Site are stored for up to twelve months to help us monitor security and performance.
Cookie-related data is kept only for the individual life-span of each cookie; full details appear in our Cookie Notice in Section 8.
At the end of each period we securely delete or anonymise the data unless a longer retention is required by law, for example, to establish, exercise or defend legal claims.
